It’s a good idea to establish Out of Office notices for items other than email if you’re going on leave. For example, with the Microsoft Teams app, you can set a ‘Out of Office’ message to notify others of your absence. Placing one of these messages will alert your teammates about your absence.

How to Set Out of Office Mes­sage in Microsoft Teams

Set up an out of office status and message to notify your coworkers that you are not working or on vacation. When teammates send you a chat message, they’ll notice your out of office response and realise you’re unavailable. Your out-of-office status will also be synced with auto-responses in your Outlook calendar.

In Teams, you may schedule your out-of-office status and message in two ways.

Schedule an out of office from your profile picture

  1. Go to your profile picture at the top of Teams and select Set status messagealternate text
  2. Select Schedule out of office at the bottom of the options.

  3. From the screen that appears, turn on the toggle next to Turn on automatic replies. 
  4. Type an out of office message in the text box. This message will appear when people contact you in Teams or open your profile. It’ll also be sent as an automatic reply in Outlook. 
     Note: An out of office message is required in order to set your status and sync with your Outlook calendar.
  5. Select the check box next to Send replies outside my organisation and choose between your contacts and all external senders if you want to send an automatic message to those outside your organisation. You can adapt your out-of-office message to this audience, or copy/paste the message you put above into the text box.
  6. Based on when you’ll be out of the office, pick the dates and times that your out of office message and status will start and stop displaying by selecting the check box next to Send replies only during a time period.

  7. Select the Save button. 

Option 2: Schedule an out of office in settings

  1. Go to your profile picture in the top right of Teams. Next, select  Settings button  Settings >  General and locate the Out of Office section.
  2. Select the Schedule button to open the out of office screen. Then follow steps 3 through 7 above to set your preferences.

To erase your out-of-office status and disable your automatic reply in Teams, choose your profile picture and return to the Out of Office screen by clicking Settings > General > Out of Office or by clicking Set status message > Schedule out of office from your profile image. Select the Save button after deactivating the toggle next to Turn on automatic replies.

Once you’ve scheduled an out of office status and message in Teams, you’ll notice that automatic replies with the time range and message you specified in Teams are enabled in Outlook. If you update your out-of-office information in Outlook, your changes will be mirrored in Teams.

Microsoft Teams for Windows and Mac use the same user interface. The steps to use the Out of Office function on both platforms remain identical.

Follow the steps below to use and set Out of Office message in Microsoft Teams.

Step 1: Open the Microsoft Teams app on your computer.

Step 2: Select relevant Team from the left sidebar.

Step 3: Click on the profile picture at the top.

It’s worth noting that your new message will appear whenever someone tries to contact you in Teams or opens your profile. It will be sent as an automatic reply in Outlook by teams.

Once you’ve added the out-of-office message, you’ll see two alternatives in the same menu. Let’s find out more about them.

Send replies outside my organisation: Check the box next to ‘Send replies outside my organisation’ if you want to send an automatic message to contacts outside your organisation. You will be able to select between ‘Only to your contacts’ and ‘All external senders.’

Only the dialogue box below allows you to set alternative messages for your contacts. Copy/paste the message from above if you wish to preserve the same out-of-office message.

Send replies only during a specific time period: This is essential for anyone attempting to set up out-of-office communications in Teams. Enabling the period box will prompt you to enter the Start and End dates in time.

Let’s assume you are out of a week. You can add start and end dates and specify the time to schedule an out of office message.


You can access the same option from the Teams settings menu and set out of office message.

Step 1: Open the Microsoft Teams app and click on the three-dot menu beside the profile picture.

Step 2: Go to Settings.

Out of office settings in Microsoft Teams are automatically synchronised with Microsoft Outlook email. Here’s how to change your out-of-office status in Outlook and update the same message on Teams.

Step 1: Open the Microsoft Outlook app on Windows.

Step 2: Click on File at the top.

Step 5: If you edit the out of office message, the same change will reflect on Microsoft Teams app as well.


In the Microsoft Teams mobile apps, there is no ability to establish an out-of-office message. You can, however, establish a standard status message and have it cleared after a certain amount of time.

This is great if you are attending a meeting or will be away from Teams for a few hours. Here’s how you can put it to use.

Step 1: Open the Microsoft Teams app on iPhone or Android (both use the same UI).

Step 2: Tap on the profile icon at the top.

Step 3: Select the Set status message.

Step 5: Set the timer to clear the message after the fixed time automatically.

When your contacts try to message you in Teams, they will see the set status message if you hit Done at the top.

If you need to leave Microsoft Teams for an extended period of time, you can utilise this feature instead of just altering Teams’ status in the app.


When you set an out-of-office message on Teams, it appears professional and informs others of the reason and likely time to expect a response. Keep in mind that the identical out-of-office message is also synced with Outlook email.
