Since 2016, Microsoft Teams has been a feature of Office 365( Contacts in Microsoft Teams ). This workplace communication tool and service includes video calling, texting, and team channels, among other things. You’ll need to add contacts to Microsoft Teams in order to enjoy all of those services.
Organize your contacts into groups to make it easier to discover them. The groups are accessible from any device, but only the desktop or an online app can be used to administer them.

Contacts are people you’d like to engage with, add to a team channel, or send a task to. Adding contacts to Microsoft Teams may not be necessary for companies because this information is automatically updated from the organization’s directory. Adding contacts to personal Teams accounts, on the other hand, maybe done using the techniques outlined below.
ADDING A NEW CONTACT FOR A PERSONAL MICROSOFT TEAMS ACCOUNT
If your Microsoft Teams account is a personal one, it is not assigned by an organization, any of the methods below can be used to add a contact.
By Syncing Mobile Device Contacts on the Mobile App
One way to add contacts on Microsoft Teams is by syncing the contacts on your address book with Microsoft Teams. Check the steps below to understand how to do so:
Step 1: Launch Microsoft Teams on your mobile device.
Step 2: Tap on your profile image.
Step 3: Tap on Settings.
Step 4: Tap on People.
Step 5: If the toggle next to Sync my device contacts is greyed out, press it to turn it on. Contacts with Microsoft Teams accounts in your phone book will be synchronised to your Microsoft Teams contacts after this is completed.
Create a group
Go to Chat on the left, select the Chat dropdown at the top, and then select Contacts.
Next, select Create a new contact group at the bottom. Name your group and select Create. You can always rename or delete your group later.
Note: You can create up to 64 contact groups.
Add people to a contact group
Go to Chat on the left, select Contacts from the Chat dropdown and then choose More options besides the group’s name. Select Add a contact to this group, type the name of a team member, and then select Add.
Rename a contact group
Go to Chat on the left, select Contacts from the Chat dropdown, and then choose More options besides the group’s name. Select Rename this group, type a new name, and then choose Save.
Note: You can’t change the name of the Favorites group.
Delete a contact group
Go to Chat on the left, select Contacts from the Chat dropdown, and then choose More options besides the group’s name. Next, select Delete this group.
Remove someone from a contact group
Go to Chat on the left, select Contacts from the Chat dropdown, choose More options besides the person’s name, and then select Remove from this group.
By Syncing Mobile Device Contacts on PC
Microsoft Teams users can also sync the contacts on their mobile device with their PC. Here’s how it works.
Step 1: Launch Microsoft Teams on your PC.
Step 2: At the bottom of the left pane, click on Find and invite people.
Step 3: On the new dialog box, click on Sync mobile device contacts.
Step 4: Scan the QR code on the PC with your mobile device.
Step 5: Once the app has been downloaded on your phone, and follow the prompt to sync your device contacts.
Add a New Contact on Teams via Chat
By searching for the email address linked to the personal Microsoft Teams account of a user, you can also add them. Here’s how it works.
Step 1: Launch Microsoft Teams.
Step 2: At the top of the left pane of the app window, select New Chat and this should launch a new chat window.
Step 3: At the top of the window within the To field, type out the name, email, or phone number linked to the Microsoft Teams account of the desired contact.
Once the contact accepts your chat request, they should be automatically added to your Contacts.
View or add contacts in Teams
To view your Teams contacts, select Calls and choose Contacts on the left. Here you’ll find an A-Z list of all your contacts and a search bar that you can use to find someone specific.
If you want to add a new contact to your list, click Add contact at the top of your list to get started.
You can also access your Speed dial contacts and any call groups you have created—all on the right side of Teams. Just select Calls and access them there at any time.
Things you can do from here:
- Speed dial allows you to quickly reference and call back any recent contacts or contacts that you have added to speed dial.
- Call groups organize your teammates to help you find or reach certain people based on a role or team.
- To add someone to speed dial or any call group, select More actions next to the group name and choose Add a contact to this group.
- You can quickly call any contact back by selecting Call below their name.
Note: If you don’t see Calls on the left side of Teams, talk to your IT admin.
To create a new contact group, first, go to Chat on the left side of Teams. Then select the Chat dropdown at the top and select Contacts.
Next, choose Create a new contact group at the bottom. Then follow the instructions to create a new group.
Add a New Contact on Teams by Sharing a Link
Another way to add a contact on Microsoft Teams is by sharing an invite link. The link can be sent via SMS, email, social media platforms, or instant messaging. Here’s how:
Step 1: Launch Microsoft Teams.
Step 2: At the bottom of the left pane, click on Find and invite people.
Step 3: On the new dialog box, click on Share an invite link and this copies the link to your clipboard.
Step 4: Launch a preferred platform e.g., email and paste the link to share it with a contact. Once the contact selects the link, they are automatically added to your address book.
ADDING A NEW CONTACT FOR AN ORGANIZATION MICROSOFT TEAMS ACCOUNT
If your Microsoft Teams account is linked to your organization or school, you can add contacts from your directory using the steps below:
Step 1: Launch Microsoft Teams on your PC.
Step 2: On the pane on the left, click on Calls.
Step 3: On the new window, click on Contacts.
Step 4: Click on Add Contact.
Step 5: Type the name of the contact that you need to add and Microsoft Teams will check for it in the directory.
Step 6: Click on the Add button.
BLOCKING A CONTACT ON MICROSOFT TEAMS
Any of the methods listed above can be used to add a contact to your Microsoft Teams contact book. You’ll be able to remain in touch with the individuals in your company, school, or institution at all times. You can also block any of the contacts if you do not wish to interact with them.
